How much to charge for office cleaning

There is no honest single number. A price per square foot copied from someone else hides their wage, their production rate and their margin, and any of the three can be wrong for your market. Work it out from the hours the building takes instead. It takes five lines.

The five lines

1. Hours per visit: each area's square footage divided by its production rate, plus restrooms and setup. 2. Visits per month: nights per week x 4.33. 3. Labour cost: hours x wage x (1 + burden). 4. Supplies: about 5% of labour. 5. Price: total cost divided by (1 - your margin). Divide, don't add: see margin vs markup.

One office at three frequencies

The same 10,000 sq ft office from the worked sample bid: 3.84 labour hours per visit, $17/hr wage, 25% burden, 5% supplies, 20% margin. Assumptions, not market rates; swap in your own.

ScheduleVisits / monthLabourMonthly pricePer visitPer sq ft / month
1 night a week4.317 hrs$464$107$0.05
3 nights a week13.050 hrs$1,391$107$0.14
5 nights a week21.683 hrs$2,318$107$0.23

The price per visit stays the same and the monthly price scales with visits. That is why a per-square-foot figure quoted without the frequency is meaningless: the same building is $0.05 or $0.23 per sq ft depending on how often you clean it.

What moves the number most

Wage and burden first: a $2/hr wage change moves this bid by about 12%. Production rate second: restrooms and break rooms take far longer per square foot than open office, so measure them separately on the walk. Margin last: going from 20% to 15% only cuts the 5-night price by about $137.

Before you send it

Check the per-visit price against the hours: if it works out under your fully loaded labour cost per hour plus supplies, you are paying to clean the building. Quote periodic work (carpet extraction, strip and wax) separately so the monthly number compares cleanly. Put it all in a proposal the client can sign.
